Privacy Notice

1. Who we are

Vantage Introductions is operated by Ina Gutowska, a sole trader trading as Vantage Introductions. Our business correspondence address is Flat 11, 14 Camden High Street, London NW1 0JH. Ina Gutowska is the controller of the personal information described in this notice.

Privacy questions and rights requests may be sent to gutowskaewelina@gmail.com or to the address above.

2. Scope

This notice applies when you visit vantageintroductions.com, submit a private brief or partner application, correspond with us, purchase a Private Search, participate in a proposed introduction, or act as a potential counterparty, provider or business contact. A counterparty may be a separate controller of information it receives and its own privacy notice will then apply.

3. Information we collect

Depending on your relationship with us, we may collect identity and contact details; organisation, role and professional information; the commercial requirement, offer or opportunity you describe; budget or scope, geography, timing, authority and readiness information; disclosure instructions; correspondence and introduction records; partner credentials; and contract, invoice or payment records. Our hosting service may also generate technical and security logs such as an IP address.

Do not submit passports, bank details, source-of-funds material, criminal-record information, health information, political opinions, other special-category data or commercially sensitive documents through the website form.

4. Where information comes from

We normally receive information directly from you. We may also receive relevant professional information from a referrer, proposed counterparty, your organisation, correspondence or publicly available professional sources such as an organisation's website or an official register. If you give us information about another person, you must be authorised to do so. Where required, we will provide privacy information to people whose information we obtain indirectly.

5. How and why we use information

We use information to receive, assess and respond to briefs; take requested steps before a contract; perform an agreed Private Search; assess whether a credible commercial route may exist; make limited or de-identified initial enquiries where authorised; obtain permission before disclosing identity or direct contact details; administer introductions, contracts, invoices and referral arrangements; prevent misuse; comply with legal and accounting duties; and establish, exercise or defend legal claims.

Our lawful bases are steps requested before a contract and contract performance; legitimate interests in operating a careful commercial introduction service, maintaining records and preventing misuse; legal obligations; and consent only where we request it for a distinct purpose. The form authorisation is an operational instruction allowing us to assess a brief and make limited initial enquiries. It is not the lawful basis for every use described here. We do not make solely automated decisions producing legal or similarly significant effects.

6. Initial outreach and introductions

We may approach a possible counterparty with the minimum information reasonably needed to test interest. Limited information may still be personal information if the person can be identified from context. We ask for specific permission before sharing your name, direct contact details or other identifying information with a proposed counterparty, unless disclosure is required by law. The other party must also agree before a mutual introduction is made.

7. Who receives information

Where necessary, information may be received by proposed counterparties and providers under the permission process; OpenAI Sites and associated infrastructure supporting website hosting and storage; Google services used for business email; Stripe when you choose to pay through the approved payment page; professional advisers, accountants or insurers; authorities, regulators or courts where required; and a successor if the business is transferred, subject to appropriate protections.

8. International transfers

Some technology providers or cross-border counterparties may process information outside the UK. Before making a restricted transfer, we will check whether an applicable UK adequacy regulation or other appropriate safeguard is available and will use the transfer arrangements supplied by the relevant provider where legally required. You may ask us for information about the safeguard relevant to your information.

9. Retention

Enquiries and unsuccessful partner applications that do not proceed are normally retained for up to 12 months. Private Search, introduction, contract, invoice and accounting records may be retained for up to six years after the relevant relationship or accounting period. Complaint, dispute or legal-claim records are kept while the matter is active and for the applicable limitation period. Records may be kept longer where litigation, fraud prevention, a regulatory enquiry or another legal duty reasonably requires it. Records due for deletion are reviewed periodically and deleted or irreversibly anonymised where appropriate.

10. Security

We use proportionate access restrictions and service-provider controls intended to protect information. No internet transmission or storage system can be guaranteed completely secure. If sensitive documents are later required, do not send them until Vantage confirms an appropriate secure method and explains why they are necessary.

11. Marketing and website technologies

We do not add enquiry details to electronic marketing merely because a brief was submitted. Any future marketing will use a separate lawful process and provide a way to object or unsubscribe. This site does not currently use optional advertising or analytics technologies. If that changes, the relevant notice and consent controls will be added before those technologies are activated.

12. Your rights

Depending on the circumstances, you may ask to access, correct, erase or restrict your information; object to processing based on legitimate interests; receive certain information in a portable format; or withdraw consent where consent applies. You have the right to object at any time to processing for direct marketing. These rights are not absolute. We may request proportionate information to verify identity.

You may complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the opportunity to address the concern first, but you may contact the ICO directly.

13. Changes

We may update this notice when the service, providers or legal obligations change. The current version and update date will appear on this page, and material changes will be communicated where reasonably necessary.
